Refund & Cancellation Policy

This policy explains how refunds, cancellations, and disputes are handled for all Dillenium services. Please read it carefully before purchasing. By proceeding with any Dillenium service, you agree to the terms outlined below.

Overview

Dillenium provides digital services including web design, brand identity, and AI automation systems to US-based real estate professionals. Our pricing structure typically consists of a one-time setup fee and an ongoing monthly retainer. This policy governs both components separately, as each carries different refund terms.

Summary

Setup fees are non-refundable once work has commenced. Monthly retainers can be cancelled with 30 days’ written notice and are not refunded for periods already delivered. Exceptions apply in specific circumstances outlined below.

Setup Fees

What setup fees cover

Setup fees cover the design, development, configuration, and launch of your Dillenium service — including but not limited to: brand identity creation, website design and build, AI system configuration, CRM pipeline setup, chatbot training, and voice agent deployment. This work begins immediately upon payment confirmation.

Non-refundable policy

Setup fees are non-refundable once work has commenced. Work is considered commenced upon Dillenium sending the client an onboarding form, intake questionnaire, or first project deliverable — whichever occurs first, typically within 24–48 hours of payment.

This policy exists because setup fees compensate for skilled labour, research, configuration time, and third-party tool costs that are incurred immediately upon project start and cannot be recovered if a client cancels.

Pre-commencement cancellation

If you request a cancellation before work has commenced — meaning before you have received an onboarding form or any project communication beyond a payment confirmation — a full refund of the setup fee will be issued within 5–10 business days. To request this, email [email protected] with the subject line “Cancellation Request” within 24 hours of payment.

In plain terms: If you change your mind before we start, you get a full refund. Once we begin the work, the setup fee is earned and is not refundable.

 

╸Monthly Retainers

How monthly retainers work

Monthly retainers cover the ongoing management, maintenance, optimisation, and support of your active Dillenium services — including AI system monitoring, content delivery, CRM updates, reporting, and any included strategy calls. Retainers are billed monthly in advance.

Cancellation notice period

Monthly retainers may be cancelled at any time with 30 days’ written notice. Notice must be sent to [email protected] with the subject line “Retainer Cancellation Notice.” Your retainer will continue and all services will remain active for the full 30-day notice period, after which billing and service delivery will cease.

Refunds on retainer payments

Monthly retainer payments are non-refundable for periods already delivered. If you have paid for a current month of service and then request cancellation, that month’s retainer will not be refunded — services will continue to be delivered through the end of that billing period.

Dillenium does not offer pro-rated refunds for partial months.

What happens to your assets on cancellation

Upon cancellation of your retainer, you retain full ownership of all completed deliverables paid for — including brand identity files, website design files, and any content created during your active subscription. Dillenium will provide an organized handover of all relevant files and credentials within 10 business days of the final billing date.

Access to any third-party platforms managed on your behalf (Go High Level, Make.com, etc.) will be transferred to you or terminated at your direction.

╸Exception & Dispute Resolution

When we will consider a refund outside this policy

Dillenium will review refund requests outside the standard policy in the following circumstances:

  • Dillenium has materially failed to deliver the agreed scope of work within the agreed timeline through no fault of the client
  • A technical error has resulted in a duplicate charge
  • A service was sold under materially incorrect or misleading representations

In these cases, please contact us at [email protected] with a clear description of the issue. We will respond within 3 business days and work toward a fair resolution, which may include a partial refund, service credit, or corrective work at no charge.

Chargebacks

We strongly encourage clients to contact us directly before initiating a chargeback with their payment provider. Most disputes can be resolved quickly and amicably through direct communication. Initiating a chargeback without first contacting Dillenium may result in the immediate suspension of all active services while the dispute is being investigated by the payment processor.

Governing law

This refund policy is governed by the laws of the United Arab Emirates. Any disputes arising from this policy that cannot be resolved through direct communication will be subject to the jurisdiction of UAE courts.
